The problem

Five manual steps between a signed paper and its record in Odoo.

Filing a signed delivery note, contract or supplier invoice usually means hunting for the PDF and uploading it by hand. It takes time, it gets forgotten, and the scanner folder fills up with unidentified files while Odoo records lack their proof.

Today

  1. 1Scan the paper.
  2. 2Find the PDF in a network folder or in the mailbox.
  3. 3Download it to the computer.
  4. 4Open the record in Odoo.
  5. 5Drag the file in and, if you remember, delete it from the folder.

With ECOP Scan to Odoo

Scan on the device, open the record in Odoo and press one button. The PDF is attached in a note that says who uploaded it and when.

  • One click from the chatter
  • Author and date on every attachment
  • Never filed twice
How it works

The user never leaves the screen.

  1. 1

    Scan

Use the usual shortcut on the network scanner. The PDF goes to the shared pending folder.

  2. 2

    Open the record

Sales order, purchase, delivery, invoice, contact, task: any Odoo record with a chatter.

  3. 3

    Press the tray icon

“Upload pending scans” sits next to the paperclip in the chatter.

  4. 4

    Note with the PDFs

Odoo logs an internal note listing the files, with the PDFs attached, and confirms how many were uploaded.

  5. 5

    Queue archived

The files leave the pending folder and move to an archive folder, with the date and time in front of the name.

A file only moves to the archive once the note is saved in Odoo. If anything fails, it stays in the pending folder.

Features

One button, built to avoid the usual mistakes.

Button in the chatter

“Upload pending scans” next to the paperclip, on any record with a chatter. No downloads, no dragging files.

Works across Odoo

Sales, purchase, inventory, accounting, contacts, projects and any module with a chatter, custom ones included.

Traceable note

An internal note with the file list, author and date. The PDFs also show in the attachments box.

Reads the scanner folder

Connects directly to the shared SMB folder the device scans to. No network drives to mount on the Odoo server.

Automatic archiving

Once attached, files move to an archive folder with date and time in the name. The queue stays clean and the original is kept.

Nothing gets lost

Files only move after Odoo has saved the note. If something fails, they stay pending.

No duplicates

If two users press at the same time, the second one is asked to retry. The same PDF never ends up on two records.

Only complete documents

Hidden, system, empty and temporary files are ignored, and so are files written less than 5 seconds ago. A half-received PDF is never attached.

Respects permissions

Only users who can write in a record’s chatter can attach to it. No new access is opened.

Use cases
